SUMMARY
Join our team as an Operations Analyst, Communications Lead and become a key driver of operational excellence. In this role, you’ll manage and enhance critical operational processes, ensure the accuracy of internal documentation, and streamline presales project procedures. You’ll be instrumental in creating, editing, reviewing, and communicating important documents to clients, ensuring our processes run smoothly. This position is ideal for someone who is highly detail-oriented, thrives in a structured environment, and enjoys working collaboratively to deliver quality outcomes across multiple projects.

KEY RESPONSIBILITIES

1. Scope (SOW/LOE) Management:

  • Initiation: Collaborate with engineers and sales teams to develop Statements of Work (SOW) and Level of Effort (LOE) documents, gathering necessary information.
  • Editing & Reviewing: Ensure documents meet high standards of accuracy, consistency, and compliance.
  • Pricing: Partner with the sales team to provide precise pricing based on project needs.
  • Client Communication: Communicate finalized, peer-reviewed documents to clients in a clear, professional manner.

2. Internal Process Documentation:

  • Create and maintain internal documentation to ensure clarity and efficiency in operational procedures.
  • Develop and update Standard Operating Procedures (SOPs) to support team productivity.

3. Process Improvement:

  • Continuously identify and implement opportunities for streamlining internal operations.
  • Utilize automation and consolidation to reduce inefficiencies and improve process quality.

Additional Responsibilities:

  • Deliverables Management: Review and refine project deliverables for accuracy and adherence to specifications.
  • Ad Hoc Document Review: Assist with document analysis and refinement for special projects as needed.
  • Compliance: Ensure all processes meet regulatory standards and company policies.

QUALIFICATIONS & REQUIREMENTS

Education:

  • Bachelor’s degree in Business Administration, Communications, English, or related field.

Experience:

  • Minimum of 3 years in operations analysis, communications, or a similar role.

Technical Skills:

  • Strong proficiency in document management and editing tools.
  • Familiarity with process improvement methodologies such as Lean or Six Sigma.
  • Experience with project management and document control platforms.

Soft Skills:

  • Exceptional attention to detail and strong organizational skills.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple tasks in a fast-paced environment and work well within a team.

Certifications:

  • Six Sigma or Lean certifications are a plus.

REPORTING & COLLABORATION

  • Reports To: Chief Operating Officer (COO)
  • Collaborates With: Sales Teams, Pre-sales Engineers, and Project Managers
